Registration Information

NOTICE [2/10/12, 12 PM]: If you are registering online today, you will notice that there are no sessions to select in the "Session Selection" screen. If you would like us to add sessions to your registration, please contact us by email or at 800.662.6862. We apologize for the inconvenience.

NOTICE [1/6/12, 2 PM]: Because our server has slowed down so much today, we are extending early bird registration to Monday. We encourage you to take advantage of down time over the weekend to get your registration in before the deadline.

NOTICE [1/6/12, 7:30 AM]: TODAY IS THE FINAL DAY OF EARLY BIRD REGISTRATION! Please expect delays if you are registering online, as the increased traffic will likely slow down our system. If you receive an error message when putting in your credit card information, please double check your entries and try again before contacting the OVMA. The problem is most likely an entry error, which we are unable to correct. We thank you for your patience.

NOTICE [12/1/11, 1:00 PM]: Group registration issues: Our system is experiencing technical difficulties in certain parts of Group Registration. If you are registering more than 3 people, or you are trying to add sessions for your group, you may not be able to proceed. We recommend going through group registration multiple times to add all attendees by clicking "Continue Shopping" and repeating the group registration process before checking out. If you would like to skip adding sessions, you may e-mail the OVMA after you complete your registration. Please include the sessions for each attendee, and we will be happy to add them to your registration.

We are working with our service provider to correct this problem and will notify you when it is fixed. Thank you for your understanding.

 

Online Registration Instructions

 

Individual or Group Registration Selection

Are you registering multiple individuals and/or purchasing a hospital pass?
YES — Continue to Next Question
| NO — Skip to Individual Registration

Are you registering DVMs and/or technicians who need to keep a record of CE?

YES

To expedite the registration process, we recommend using:

  • Individual registration for technicians and/or DVMs.
  • Group registration for other staff and hospital passes where a record of CE is not required.

The reason: This registration system allows users to search sessions — thus making it easier to select events you wish to attend and keep track of — only in individual registration. Although all events are listed and can be selected in both individual and group registration, unfortunately there is no search function in group registration. You may register your entire staff through the group registration option, but please be aware that selecting sessions for each individual (while optional) may be a time-consuming process.

If you choose to register DVMs and technicians through individual registration and other staff through group registration, simply follow the step-by-step instructions and click CONTINUE SHOPPING before checking out to repeat the process for other staff. You may begin with either individual or group.

Continue to INDIVIDUAL REGISTRATION or proceed with GROUP REGISTRATION.

NO

Use Group Registration only.

The group registration process does not allow users to search for sessions when registering, so if your hospital staff does not need a CE record, you do not have to complete this potentially time-consuming process of sifting through each page of sessions. Unless your staff members plan to attend functions that require an additional fee, selecting sessions for each individual attending is not required and you may skip to the next step.

Continue with GROUP REGISTRATION.

 

Group Registration

1. Select Registration Category

If you are registering multiple staff members of the same registration category, please select the appropriate category from the drop-down menu.

If you are registering a group with different registration categories, select the option with the most individual registrants. You will be able to adjust the fees for other individuals on the next screen.

When you are ready to continue, click NEXT.

 

2. Select Attendees

The database will populate a list of individuals associated with your organization. If this list is correct, you may continue with selecting attendees and adjusting registration fees (below).

If you need to modify your organization's staff, please contact the OVMA by email at info@mvcinfo.org and include a list of any employees who should be deleted and/or names and title/position for any that should be added. We will contact you as soon as the changes have been made. You may continue with your registration now and register the added individuals later, or return to register after your requested changes have been posted to your record. Continue with selecting attendees and adjusting registration fees (below) when you are ready.

Selecting Attendees & Adjusting Registration Fees

Select all the individuals who will be attending the Conference. Once you check their box, the rate you chose on the previous screen will appear in the right column. If it is correct, leave it. If you need to adjust it, click CHANGE RATE and select the appropriate registration fee from the drop-down menu. Refer to the table shown above your staff list to ensure you select the correct registration category for each individual. Repeat this process with all staff members who are attending.

When you are ready to continue, click NEXT.

 

3. Enter Registration Information

The system will pre-populate badge information for your selected attendees based on what is saved in the database. You may make edits as necessary to each attendee. Be sure to include the names as they should appear on the attendees' badges and which day(s) each individual is attending. If you have any special requests (wheelchair access, interpreter, etc.) please enter them under SPECIAL INSTRUCTIONS.

When you are ready to continue, click NEXT.

 

4. Select Sessions

You may select the sessions each staff member plans to attend by scrolling through each page and checking individual sessions. The sessions are organized by start time rather than session number. Unfortunately, our system does not allow for session searches for group registration.

With the exception of hands-on labs and special events, selecting sessions is not required for registration. If you do not wish to select sessions for each attendee, you may skip this step.

5. Confirm & Register

A summary of your group registration will appear. Please confirm your selections, and if you need to make any edits, click PREVIOUS. Otherwise, click REGISTER NOW.

YOU ARE NOT FINISHED YET! The next screen will show an itemized list of your purchases and grand total. If you are ready to complete your purchase, click PROCEED TO CHECKOUT.

On the following pages, follow the prompts to enter in your billing and credit card information. Please make sure your address is EXACTLY as it appears on your billing statement. After you complete your transaction, you will receive an e-mail confirmation, including all sessions, events, etc. you registered for. Confirmation packets will be mailed beginning Feb. 13.

Individual Registration

1. Select Registration Fee

Select the category (DVM, technician, student, etc.) and registration (one day or full Conference) that applies to you and click NEXT. The OVMA will verify your selection and notify you of any errors.

 

2. Enter Registration Information

The system will pre-populate badge information based on your record. Be sure your name is shown as you would like it to appear on the your badges and make edits as necessary. If you selected a one-day registration, choose the day you plan to attend, or click FULL CONFERENCE if you registered for all four days. If you have any special requests (wheelchair access, interpreter, etc.) please enter them under SPECIAL INSTRUCTIONS and any emergency contacts' information in the appropriate box (optional).

When you are ready to continue, click NEXT.

 

3. Session Selections

Please select which sessions, wet labs, and special events you wish to attend. You are not required to register for individual sessions; however, you MUST register for any events that require an additional fee and/or have capacity limits if you would like to attend.

You may search by start day/time, type (lab, special event, etc.), and track by clicking on the appropriate drop-down menus and selecting SEARCH. If you would like to search by session number, enter the session number in the NAME field.

Once you have made your selections, you can verify your entries by clicking on MY AGENDA.

When you are ready to continue, click NEXT.

 

4. Select Guests

If you are bringing a guest, please denote your selection using the drop-down menu. Guest registrations are permitted for non-veterinary professionals ONLY.

If you select a guest, repeat step 2 for your guest's badge. On the next screen, select the appropriate registration type for your guest. On the following page, repeat step 3 for your guest (optional for any included sessions/events).

When you are ready to continue, click NEXT.

 

5. Confirm Your Registration

A summary of your group registration will appear. Please confirm your selections, and if you need to make any edits, click PREVIOUS. Otherwise, click REGISTER NOW.
