If your deposit is not received within 30 days, your booth will be released.<\/li><\/ul><h6 class=\"blue-lt bold mb-0\">Booths reserved after Dec. 19, 2025<\/h6><ul class=\"mb-05\"><li class=\"regular\">Full payment is due <strong>at the time of reservation<\/strong>.<\/li><\/ul><p>Failure to remit payment as outlined above will result in the exhibitor\u2019s booth space being released for general sale and all payments forfeited. If the space is not claimed by another company, the original exhibitor may reclaim the space upon full payment of outstanding balances.<\/p><\/div><\/div><\/div><div class=\"ea-card sp-ea-single\"><h3 class=\"ea-header\"><a class=\"collapsed\" id=\"ea-header-11541\" role=\"button\" data-sptoggle=\"spcollapse\" data-sptarget=\"#collapse11541\" aria-controls=\"collapse11541\" href=\"#\" aria-expanded=\"false\" tabindex=\"0\"><i aria-hidden=\"true\" role=\"presentation\" class=\"ea-expand-icon eap-icon-ea-expand-plus\"><\/i> What is the cancellation policy?<\/a><\/h3><div class=\"sp-collapse spcollapse spcollapse\" id=\"collapse11541\" data-parent=\"#sp-ea-1154\" role=\"region\" aria-labelledby=\"ea-header-11541\"> <div class=\"ea-body\"><p>Exhibitors may cancel at any time by\u00a0<a href=\"https:\/\/www.mvcinfo.org\/contact.html\" target=\"_blank\" rel=\"noopener\">contacting OVMA<\/a>. Refunds (less a 15% cancellation fee) will be given if notice is received on or before 60 days prior to the first day of the Conference (Dec. 19, 2025).<\/p><p>Exhibitors who cancel within 60 days of the MVC (after Dec. 19, 2025) will be billed for the remaining balance of their booth. If the booth space can be resold to another company, a 50% refund will be issued after the conclusion of the MVC.<\/p><\/div><\/div><\/div><div class=\"ea-card sp-ea-single\"><h3 class=\"ea-header\"><a class=\"collapsed\" id=\"ea-header-11542\" role=\"button\" data-sptoggle=\"spcollapse\" data-sptarget=\"#collapse11542\" aria-controls=\"collapse11542\" href=\"#\" aria-expanded=\"false\" tabindex=\"0\"><i aria-hidden=\"true\" role=\"presentation\" class=\"ea-expand-icon eap-icon-ea-expand-plus\"><\/i> How can I downsize to a smaller booth?<\/a><\/h3><div class=\"sp-collapse spcollapse spcollapse\" id=\"collapse11542\" data-parent=\"#sp-ea-1154\" role=\"region\" aria-labelledby=\"ea-header-11542\"> <div class=\"ea-body\"><p>Downsizing requests made on or prior to the cancellation deadline (Dec. 19, 2025) will be refunded the cost of the canceled booths, less a 25% administrative fee. Pre-registration is encouraged and will open (TBD).<\/li><li class=\"regular mb-0\">Exhibitors may NOT provide badges to customers or other individuals not employed by the Exhibitor (or an affiliated company).<\/li><li class=\"regular mb-0\">Exhibitor badges CANNOT be used to attend CE sessions.<\/li><li class=\"regular mb-0\">Violation of these provisions will result in the loss of all previously accrued exhibitor appreciation points and a $500 penalty.<\/li><\/ul><\/div><\/div><\/div><div class=\"ea-card sp-ea-single\"><h3 class=\"ea-header\"><a class=\"collapsed\" id=\"ea-header-11545\" role=\"button\" data-sptoggle=\"spcollapse\" data-sptarget=\"#collapse11545\" aria-controls=\"collapse11545\" href=\"#\" aria-expanded=\"false\" tabindex=\"0\"><i aria-hidden=\"true\" role=\"presentation\" class=\"ea-expand-icon eap-icon-ea-expand-plus\"><\/i> What activities are allowed\/not allowed in my booth? Do I need permission for any activities?<\/a><\/h3><div class=\"sp-collapse spcollapse spcollapse\" id=\"collapse11545\" data-parent=\"#sp-ea-1154\" role=\"region\" aria-labelledby=\"ea-header-11545\"> <div class=\"ea-body\"><h6 class=\"blue-lt bold italic mb-025\">General Requirements &amp; Guidelines<\/h6><ul class=\"mb-05\"><li class=\"regular mb-0\">All activities and materials must be contained within the confines of your booth space and may not obstruct aisles or common areas. Exhibitors may not leave their booths to solicit business and\/or hand out marketing materials.<\/li><li class=\"regular mb-0\">Exhibitors who wish to play music are responsible for obtaining and paying for all music licensing fees.<\/li><li class=\"regular mb-0\">Exhibitors are expected to keep any audio to a reasonable level so as not to interfere with the activities of other exhibitors. OVMA reserves the right to limit the use of any music or other audio\/visual media it determines to be offensive or infringes upon the rights of other exhibitors.<\/li><li class=\"regular mb-0\">Only the promotion and sale of products that are legal under federal and Ohio law will be permitted.<\/li><li class=\"regular mb-0\">Purchases, refunds and contracts executed in the Exhibit Hall shall be governed by the laws of Ohio.<\/li><li>Refund and exchange policies should be prominently displayed and\/or verbalized prior to a sale.<\/li><\/ul><h6 class=\"blue-lt bold italic mb-025\">Advance Permission Required<\/h6><ul class=\"mb-05\"><li class=\"regular mb-0\">You must obtain permission from the OVMA prior to the MVC if you wish to use demonstration animals and\/or entertainers.<\/li><li class=\"regular mb-0\">Exhibitors may not make announcements over the loud speaker. However, OVMA staff members may, at their discretion, make a non-commercial announcement on an Exhibitor\u2019s behalf.<\/li><li class=\"regular mb-0\">Exhibitors may not vacate the premises before 1:30 p.m. on Saturday without prior authorization from OVMA.<\/li><\/ul><h6 class=\"blue-lt bold italic mb-025\">Not Permitted at Any Time<\/h6><ul class=\"regular mb-05\"><li class=\"regular mb-0\">The sale or promotion of illegal products;<\/li><li class=\"regular mb-0\">Balloons of any kind;<\/li><li class=\"regular mb-0\">Providing badges to customers or other individuals not employed by or affiliated with your company;<\/li><li class=\"regular mb-0\">Using exhibitor badges to attend CE sessions;<\/li><li class=\"regular mb-0\">Displaying your literature in any location outside of your booth;<\/li><li class=\"regular mb-0\">Leaving your booth to solicit business and\/or hand out marketing materials;<\/li><li class=\"regular mb-0\">Bridging the aisle between booths;<\/li><li class=\"regular mb-0\">Using your own floor covering in the aisle;<\/li><li class=\"regular mb-0\">Blocking the view of adjacent exhibits; and<\/li><li class=\"regular mb-0\">Invading the personal space of and\/or touching an attendee or other exhibitor without express permission.<\/li><\/ul><\/div><\/div><\/div><div class=\"ea-card sp-ea-single\"><h3 class=\"ea-header\"><a class=\"collapsed\" id=\"ea-header-11546\" role=\"button\" data-sptoggle=\"spcollapse\" data-sptarget=\"#collapse11546\" aria-controls=\"collapse11546\" href=\"#\" aria-expanded=\"false\" tabindex=\"0\"><i aria-hidden=\"true\" role=\"presentation\" class=\"ea-expand-icon eap-icon-ea-expand-plus\"><\/i> Are animals permitted in the Exhibit Hall?<\/a><\/h3><div class=\"sp-collapse spcollapse spcollapse\" id=\"collapse11546\" data-parent=\"#sp-ea-1154\" role=\"region\" aria-labelledby=\"ea-header-11546\"> <div class=\"ea-body\"><p><strong>Only service animals, as defined in federal and state law, are permitted in the convention center facility.<\/strong> Animals without proper documentation of their service animal status will be required to leave immediately.<\/p><p>Exhibitors who wish to use demonstration animals as part of their exhibit must\u00a0<a href=\"mailto:info@mvcinfo.org\">contact OVMA<\/a>\u00a0at least 30 days in advance with a detailed explanation as to the nature and necessity of their intended use.
