1. Non-profit booths are assigned by MVC staff after general exposition closes. Must provide proof of 501(c)(3), 501(c)(5), or 501(c)(6) status.

2. Additional badges available for $75 each.

3. Attendee lists are only available through OVMA/MVC. Other entities claiming to have attendee lists for sale are scams.

4. Booth staff wishing to earn CE credits must also register as attendees.

07/14/26 Category A Booth Selection Begins. Existing exhibitors with 30+ Appreciation Points.
07/21/26 Category B Booth Selection Begins. Existing exhibitors with 20-29 Appreciation Points.
07/28/26 Category C Booth Selection Begins. Existing exhibitors with 10-19 Appreciation Points.
08/04/26 Category D Booth Selection Begins. Existing exhibitors with 3-9 Appreciation Points.
08/11/26 General Exposition Begins. First-time and existing exhibitors with 0-2 Appreciation Points.
01/19/27 Booth Sales Close Any booths purchased at the non-profit rate will be assigned after this date.

Additional Deadlines

Within 30 Days

Full payment due within 30 days of booth selection for booths reserved by 12/16/26. (For booths reserved after 12/16/26, full payment is due at the time of reservation.)

Refund Deadline. Exhibitors who cancel by this date will receive a refund less a 15% administrative fee. No refunds will be given after this date.

01/25/27

Liability Insurance Due. A copy of Exhibitor’s certificate of insurance must be submitted to the OVMA by this date. (See "Contract Highlights" tab for details.)

Payment & Cancellation

Exhibitors must remit full payment within 30 days of booth reservation, if their booth is reserved on or before Dec. 16.

After Dec. 16, payment is due in full at the time of reservation.

Failure to remit payment may result in the booth space being released to general sale.

Exhibitors may cancel at any time. Refunds less a 15% cancellation fee will be given if notice is received on or before Dec. 16.

Liability Insurance

All exhibitors must obtain insurance meeting the below requirements. Certificates of insurance must be on file in order to set up.

OVMA has partnered with Rainprotection Insurance to offer low-cost liability insurance.

Booth Staff Badges

Exhibitors may not share staff badges, use staff badges to attend CE sessions, or provide staff badges to anyone not employed by their company.

Exhibit Booth Policies

Animals on site: Only service animals with proper identification are permitted on the premises. Demonstration animals may be approved on a case-by-case basis, and permission must be requested no less than 30 days prior to the MVC.

Stay in your space: All marketing, demonstrations, and sales interactions must take place entirely within your assigned booth boundaries. Do not solicit in the aisles.

Promotional materials: Literature and promotional materials must be kept and displayed strictly within your assigned booth space. Distribution or placement of these items in public areas, aisles, or common spaces is prohibited. Any such items found outside a booth will be removed.

No aggressive tactics: High-pressure or intrusive sales tactics are strictly prohibited. You may not yell at, call out to, badger passing attendees.

Zero tolerance for physical contact: Under no circumstances may booth staff touch, grab, or physically obstruct the movement of any attendee.

Early teardown: Exhibitors may not tear down early unless they have obtained prior approval from OVMA.

Enforcement: Show management reserves the right to remove any exhibitor who violates these policies immediately, without a refund.
